Creating publication records from templates
To add a publication, log into Pure and click on the green Add new button at the top right side of the screen.
A new window will open. Select category Research output on the left side of the screen and the menu of different types of research outputs will be displayed.
Select the appropriate output type, and an empty template will open.
Please ensure that all mandatory fields, indicated by a red asterisk, are completed otherwise the record will not be able to be saved. Bibliographic details such as page numbers, volume and issue numbers, publisher and place of publication are not mandatory but should be added when known.
The person adding the record will automatically be added to the bibliographic record as an author. To add co-authors, click on the button Add person. Authors in Pure already can be searched or a new external person can be created if not already listed. If Edit is clicked opposite the person’s name, the role of the contributor can be selected (for example an editor rather than an author). The order of authors can be changed by clicking the up and down arrows, and people can be removed by clicking on the minus sign.
Please note that if a chapter in a book or other edited work is being added, only the authors of the chapter should be added in this section. The editor(s) of the host publication should be added by clicking on the button Add editor in the Publisher section.
The internal organisation affiliation will be added in the section Research output managed by. This should automatically be set to the department but if a research group is added instead, please click on Change organisational unit and select the department.
In the section Documents, a full text document of the publication can be added that will make the publication available on the Royal Holloway website for wider audiences. The College has an Open Access policy that states that staff should make the author's accepted manuscripts Open Access via Pure in line with publisher's policy. In the section Relations, the publication should be linked with any related project or activity.
The Status of all entries is set to Completed by default. If the status of the research output is set to Entry in progress, the item will be displayed on My personal to do list for easy access at a later stage.
Please double-check the accuracy of data.
Finally, click Save to create the record. The publication will instantly appear on the website (if the Visibility has been set as Public). The publication records can always be edited later by clicking on the titles.
Deleting a research output
If there is a publication added that now needs to be deleted, open the publication record and click on the red cross at the bottom right corner of the screen. Please note that this action cannot be undone. If a publication has been added by another author and it needs to be removed from another person's profile, please the item needs to be disclaimed.
