Invitation

Viva

  • Once you have been sent a copy of the candidate's thesis, together with the necessary report forms and guidances, the candidate's supervisor will contact you to arrange a viva date which suits you, your co-examiner and the candidate.
  • The viva should take place either at the Royal Holloway Egham campus or at Bedford Square or Senate House in central London.
  • Please return your Preliminary Report (First Submission Examination/Resubmission Examination) to Student Administration prior to the viva.

Guidance on the Conduct of the MPhil/PhD Exam

Audio recording of viva/Independent Chair:  The  Research Degree Regulations stipulate that an audio recording must be made of the viva or an Independent Chair must be present at the viva.  In your invitation letter, you will be informed whether your candidate will be examined under this new process.  If they are, you will also be informed of the method chosen.

Amendments to Address Errors of Substance or Omission within 9 months (First submission): There is an additional outcome option available for first submissions i.e. that the candidate has a Pass subject to the satisfactory completion of Amendments to Address Errors of Substance or Omission within 9 months.  On the decision report form which is sent to you with the thesis, it will be indicated whether this option is available to your particular candidate.  

The report forms should be completed and signed by both examiners and returned to Student Administration within 2 weeks of the viva.

If you are examining a resubmitted thesis where a second viva is not required, it is recommended that  you should aim to  reach a decision with your co-examiner and return your forms within 3 months of receving the resubmitted thesis. 

Post Viva

Report Forms

The report forms should be completed and signed by both examiners and returned to Student Administration within 2 weeks of the viva.

If you are examining a resubmitted thesis which does not require a 2nd viva, it is recommended that you should aim to reach a decision with your co-examiner and return your report forms within 3 months of receiving the resubmitted thesis.

Amendments Process

If the decision is that, in order to reach the required PhD/MPhil standard,  the candidate needs to make minor amendments within 3 months or amendments to address errors of substance or omission within 9 months:

  • You can either give the candidate the List of Minor Amendments/List of Amendments required straight after the viva or you can ask Student Administration to forward the list to them.
  • Please indicate on the Decision Report form which examiner has been nominated to check that the amendments have been made satisfactorily.
  • It is the responsibility of the candidate to liaise with the nominated examiner regarding the preferred format of the amendments and where to submit them to.
  • The candidate should submit the minor amendments within 3 months  / the amendments to address errors of substance or omission within 9 months of the date that they are informed of the amendments required.  If the candidate misses this deadline, please contact researchdegrees@rhul.ac.uk.
  • If you are the nominated examiner, please complete the Satisfactory Completion of Amendments form/ Satisfactory Completion of Minor Amendments form once you have checked the amendments and return it to Student Administration.

Payment of Examiner Fee and Expenses 

Your examiner fee and your expenses will be paid once the viva report forms and your invoice form (and receipts, if applicable) have been submitted to Student Administration.
